TimeBook integrates with Zoom to automatically create Zoom meeting links when a booking is confirmed. This guide explains how to add, use, and remove the Zoom integration.

1Adding the Zoom Integration

  1. 1.Sign in to your TimeBook account at timebook.jp.
  2. 2.Navigate to Integrations in the left sidebar.
  3. 3.Find the Zoom card and click Connect Zoom.
  4. 4.You will be redirected to Zoom's authorization page. Review the requested permissions and click Allow.
  5. 5.You will be redirected back to TimeBook. The Zoom card will now show Connected.
Required permissions: user:read:user · meeting:write:meeting · meeting:update:meeting · meeting:read:meeting · meeting:read:participant · cloud_recording:read:recording · cloud_recording:delete:recording

2Using Zoom with TimeBook

  1. 1.Go to Booking Pages and create a new page or edit an existing one.
  2. 2.Under Meeting Location, select Zoom.
  3. 3.Save the booking page. Your public booking URL is now ready to share.
  4. 4.When a guest books a meeting, TimeBook automatically creates a Zoom meeting using your connected account.
  5. 5.Both the host and guest receive a confirmation email containing the Zoom meeting link and meeting ID.
Each staff member must connect their own Zoom account individually. Meeting links are created using the connected host's account.

3Removing the Zoom Integration

You can disconnect Zoom from TimeBook at any time:

  1. 1.Go to Integrations in the left sidebar.
  2. 2.On the Zoom card, click Disconnect.
  3. 3.Confirm the disconnection. TimeBook will no longer have access to your Zoom account.

You can also revoke access directly from Zoom:

  1. 1.Sign in to your Zoom account and go to My Apps in the Zoom App Marketplace.
  2. 2.Find TimeBook and click Remove.
  3. 3.TimeBook will automatically detect the deauthorization and remove all stored Zoom credentials.

4Data & Privacy

  • TimeBook stores only the OAuth access token required to create meetings on your behalf.
  • Tokens are encrypted at rest using AES-256-GCM encryption.
  • Zoom cloud recordings are automatically saved to Google Drive and then deleted from Zoom to conserve storage.
  • Upon disconnection, all Zoom credentials are permanently deleted from our systems.

5Test Plan

Follow these steps to verify all Zoom integration features are working correctly.

Prerequisites

  • A Zoom account with Cloud Recording enabled (Zoom Settings → Recording → Cloud recording: ON)
  • Access to TimeBook at timebook.jp

Step 1: Authorize the App

  1. 1.Go to timebook.jp and sign in.
  2. 2.Click Integrations in the left sidebar.
  3. 3.Click Connect Zoom on the Zoom card.
  4. 4.Review the requested permissions on Zoom's authorization page and click Allow.
  5. 5.Verify: You are redirected back to TimeBook and the Zoom card shows Connected with your Zoom email.

Step 2: Create a Booking Page with Zoom

  1. 1.Click Booking Pages+ New Page.
  2. 2.Enter a title (e.g., "Test Meeting"), set duration to 15 minutes.
  3. 3.Under Meeting Location, select Zoom and save.

Step 3: Make a Test Booking

  1. 1.Open the public booking URL and select an available time slot.
  2. 2.Enter guest name and email, then confirm the booking.
  3. 3.Verify: Both host and guest receive confirmation emails with a Zoom meeting link.

Step 4: Test Rescheduling (meeting:update:meeting)

  1. 1.Go to Bookings, click the test booking, and click Reschedule.
  2. 2.Select a new time and confirm.
  3. 3.Verify: The Zoom meeting link in the confirmation email is the same as the original (the meeting is updated, not recreated).

Step 5: Test Meeting Tracking (meeting:read:meeting, meeting:read:participant)

  1. 1.Join the Zoom meeting as the host, and from another device/browser as the guest.
  2. 2.Verify: The booking detail page shows both participants with join times in the Attendance section.
  3. 3.End the meeting.
  4. 4.Verify: The booking status automatically changes to Completed.

Step 6: Test No-Show Detection

  1. 1.Create another test booking and join the meeting as host only (no guest).
  2. 2.End the meeting after 1 minute.
  3. 3.Verify: The booking status automatically changes to No-Show.

Step 7: Test Cloud Recording (cloud_recording:read:recording, cloud_recording:delete:recording_file)

  1. 1.Ensure Cloud Recording is enabled in your Zoom account settings.
  2. 2.Start a meeting from a test booking (recording starts automatically).
  3. 3.Have a brief conversation (30+ seconds) and end the meeting.
  4. 4.Wait 2–5 minutes for Zoom to process the recording.
  5. 5.Verify: The recording appears in the booking detail page with a Google Drive link.
  6. 6.Verify: The recording is automatically deleted from Zoom Cloud (check Zoom → Recordings → Cloud Recordings).
